Campus Events Council (CEC)
The Campus Events Council is responsible for the approval of all campus events, including student-run programs. The Council reviews and evaluates event requests that come through 25Live to prevent scheduling conflicts, ensure effective use of campus spaces, and steward institutional resources in a way that maximizes event success and upholds the university professionalism. The CEC also oversees and maintains the university master events calendar. The Council meets monthly in person to review flagged events and, when necessary, consults with the Cabinet Advisor.

Events Planning Collaborative (EOC)
The Events Planning Collaborative meets quarterly and supports the success of approved campus events by helping identify potential scheduling conflicts, encouraging strategic partnerships or collaborations that enhance the overall event experience. Members may receive monthly emails, as needed, to review flagged events that could impact their department. Tier 4 and Tier 5 requests — typically meetings and routine operational events — will continue to be reviewed and approved by the Campus Coordinator unless additional review is required.

Event Reservations & Scheduling Guidelines
Reservation Guidelines
All faculty and staff must submit event reservation requests in advance through 25Live. This system serves as the university centralized scheduling platform to manage campus spaces and event-related resources, ensuring successful and well-coordinated events.
Event requests not submitted through 25Live will not have access to campus locations or resources.
Future Event Request Form
If your department is planning an event beyond the latest requestable date available in 25Live, you must submit a Future Event Request Form.
This form should include:
- Type of event
- Event focus or purpose
- Budget
- Target Audience
- Additional relevant details
Tiered Scheduling System
To best serve the campus community and maximize the use of university resources, Biola utilizes a tiered scheduling system for event reservations.
Submission priority is determined by:
- Event type
- Anticipated attendance
- Institutional importance
- Sponsoring group category
Designated submission periods are published on MyBiola and within 25Live.
Event Tiers & Submission Timeline
Five event levels have been established to support strategic planning and resource allocation. While most events fall within these parameters, the Campus Event Council recognizes that certain events (e.g., emergencies or university mandates) may require exception review on a case-by-case basis.
